Job Accountabilities:

  • Support implementation and monitoring of the POD manpower plans (MPP)
    • Coordinate and liaise with POD management on, staff movement and recruitment process and issues. Collect monthly staff figures for POD operations, maintenance engineering, projects and (associated) logistics, warehousing and overhead, including recruitment status, vacancies, slippage against plans, issues and delays;
    • Produce and provide ad hoc reports, presentations, illustrative graphics and other departmental information as necessary in support of POD management.
    • Provide input into the POD Monthly & Annual Cost Report with Annual Work Program and Budget (AWP&B) and Multi-Year Development Plan (MYDP) data related to staff numbers;
    • Maintain jointly with HR business KPI’s for Manpower Plan/budget related targets.
    • Focal Point / Accountable for all POD movements, recruitment staffs
    • Database holder

  • Coordination of Commissioning and Completion Manpower contract in POD:
    • Support in transition, employee selection, interview arrangements
    • Maintain Data base, CV
    • Coordinate staff mobilization and onboarding/inductions with relevant department
  • Act as implementation focal point from POD for HR Manpower contract
  • Provide coordination of tasks and support related to POD staff movements:
    • Maintain, and keep up to date, POD organization charts and Manpower Plans.
    • Coordinate administration activities associated with movements and recruitment of POD staff, including all HR related documents and correspondence;
    • Support arrangement of candidate interviews in conjunction with HR recruitment departments and respective line managers;
    • Coordinate staff mobilization and onboarding/inductions with relevant department administrators and HR. Ensure and maintain effective working relationships with all Support Departments;
    • Keep communications and company information on manpower issues confidential, including sensitive personnel data;
  • Determine and adjust Kashagan-specific staff benchmarking information for POD.
    • Collect manpower information from the relevant parties within and outside POD to develop input into the 5-yrs.business manpower plan;
    • Collaboration with various internal departments
  • Provide Management support
    • Support/ Advise/ Coordination of all POD Department Administrators in agenda management, arranging travel, filing of critical information, SAP issues, etc.
    • Support POD internal communication.
  • Act as Custodian of the staff onboarding process in POD:
    • Support SEC with HR, Visa, Accommodation, Security
    • Contractors: with agencies
  • Provide support to NCOC Woman’s Network
  • Provide Support to Crises Management Team and Incident Management Team

Qualification & Experience Requirements:

  • Five years of administrative, secretarial or equivalent professional experience
  • Minimum of a relevant university degree or equivalent qualification.
  • Experience in effectively working in teams, and done roles that had to cope with fast changing priorities and fluctuations in workload.
  • Manpower plan & Organizational Design
  • Understanding of cost center process

Required Competences:

  • Skilled in the use of Microsoft Word, Excel, Power-point, Outlook, Visio, SAP and SAP BP.
  • Can work with accurate and with attention to detail.
  • Fluent in both written and verbal English communication.
  • Strong understanding of HR processes, including but not limited to:
  • Recruitment and transfer process for national staff, contractors and secondees
  • Budget process and AWPB
  • Visa and work permit process
  • Office Security/badge process
  • Good interpersonal and effective business communication skills with Senior Operations Management.
  • Has ability to handle sensitive information and ensure confidentiality.
  • Is strongly self-motivated. Can set own priorities in line with business needs.
